Freelance Project Manager, Event Marketing & Communications: Job Description
Reports to: President, Vice President, and Director
Bowen & Co. Events is seeking a part-time Project Manager, Event Marketing and Communications to join our team of creative, enthusiastic, and strategic event professionals. Founded over 20 years ago, Bowen & Co. Events’ clients include The James Beard Foundation, producing their annual Awards for culinary excellence, as well as a 20-city Taste America culinary series popping up tastings and dinners around the country. More projects include food festivals, nonprofit galas for prestigious arts and cultural organizations in Manhattan, and media events.
The Freelance Project Manager, Event Marketing and Communications will work closely with clients to manage marketing, press, and communications, including digital/print event collateral, digital/print marketing assets, website content, social media assets, and co-branded sponsor deliverables. The role is to liaise with key internal and external stakeholders to forecast and manage the schedule of copy creation, design, review, and routing approvals for all marketing and communication deliverables. You will ensure timely completion of all projects, track deadlines, and strategically manage resources and systems for efficiency.

Responsibilities
Client Liaison:
· Serve as the primary liaison on the James Beard Foundation Awards, Taste America, and Gala accounts, as it relates to client’s marketing and communications department, coordinating across departments including graphic design, marketing, public relations, sponsorship, and events
· Attend regularly scheduled meetings with the client and Bowen & Co. Events, as needed
Collateral Management and Operations:
· Collaborate and maintain comprehensive timelines for James Beard events, ensuring all collateral deadlines are met and Bowen & Co. Events’ deliverables are supplied in a timely manner
· Create and maintain checklists of all printed/digital collateral needs
· Oversee day-to-day workflow for collateral creation and manage within project management software (Monday.com)
· Manage relationships with all internal/external stakeholders as it relates to collateral creation/approvals, including graphic designer, client project manager, client communications/marketing team, internal sponsorship manager, and internal Bowen & Co. Events leadership
· Collaborate with parties noted above to create and/or deliver up-to-date information and assets (copy, menus, chef lists, sponsor logos, etc.), communicate edits, gain necessary approvals, and manage the design/print process in a timely manner for all collateral pieces
· Ensure all internal stakeholders (sponsorship manager, culinary producer, event director, etc.) are aware of upcoming deadlines
· Identify potential issues and work proactively to resolve them, alerting Bowen & Co. Events leadership as needed
· Track the success and efficiency of collateral materials/processes and suggest process improvements, as needed
· Prepare agendas and report on project status at standing internal and client meetings
Bowen & Co. Event Communications:
· Assist in the creation of sponsorship sales materials, including decks, sales sheets, and wrap reports, by customizing and updating design templates. Original graphic design is provided by designer
· Assist in the creation of new business proposals and sales decks
· Assist in creation of promotional MyEmma emails Bowen & Co. Events deploys to promote client events or share company news and messages
· Manage updates to the Bowen & Co. Events website, as needed
· Manage updates to the Bowen & Co. Events social media platforms, as needed
Job Requirements
- Strong organizational skills and exceptional attention to detail
- Excellent communication skills, both verbal and written
- Strong computer skills including Microsoft Office (Word, Outlook, Excel, and PowerPoint)
- Aptitude for technology and working in software management systems, like Monday.com
- Creative problem solver
- Ability to handle multiple tasks in a fast-paced environment and meet deadlines
- Ability to be a good brand representative for Bowen & Co. Events
Compensation and Benefits
This is a part-time, non-exempt at-will position. The employee can choose to work 100% remotely or is welcome to come into the office. The time commitment will average 15-20 hours per week. Bowen & Co. Events will request to determine a mutually agreed-upon schedule of set office hours when the Project Manager will be available and online. These hours will need to fall within business hours Monday-Friday between 9 am - 6pm.
The annual salary starts at $40,000, commensurate with experience, and payroll is processed on a bi-weekly basis. Overtime will be paid in accordance with federal and state law. Benefits include but are not limited to 5 days (40 hours) of PTO per 12-month period and access to the company’s 401K plan after one year of employment.
