Position Summary
Shades by Samar is seeking a highly organized, design-minded Interior Design & Window Treatments Project Coordinator to support clients and the internal sales/design team from initial inquiry through installation.
This role combines product configuration and quote support with client communication, CRM management, scheduling, vendor coordination, material/sample organization, and project follow-up. The successful candidate will understand the details that make a design project successful—from fabric, upholstery, furniture, awning, pergola and window-treatment selections to measurements, product specifications, order information, deadlines, and installation readiness.
The position requires strong written communication, excellent attention to detail, sound judgment about when to escalate an issue, and the ability to keep every client and project item accurately documented and moving forward.
Core Responsibilities
- Create and maintain complete CRM records for new inquiries, clients, projects, communications, selections, deadlines, owners, and next steps.
- Coordinate and confirm consultations, site visits, design meetings, measurements, deliveries, and installations.
- Support product configuration and quote preparation for window treatments and related design products using approved specifications, measurements, pricing inputs, and checklists.
- Review project information, takeoffs, plans, quantities, measurements, selections, and vendor documentation; identify missing information, conflicts, or unclear assumptions before work proceeds.
- Prepare clear questions for incomplete project information and escalate technical, pricing, complaint, relationship, or approval-related matters to the appropriate decision-maker.
- Maintain accurate digital project files, including correspondence, plans, photos, notes, material selections, vendor acknowledgments, tracking details, and production updates.
- Manage and organize fabric memos, upholstery samples, material books, furniture information, and client-facing sample areas.
- Triage assigned email and written communications; identify the owner, deadline, next action, and required follow-up for each item.
- Draft and send approved routine client and vendor follow-up using company templates and direction.
- Coordinate supplier acknowledgments, production updates, tracking, payment-related documentation, order information, and installation readiness.
- Ensure every handled project item has a visible owner, deadline, status, and next action.
- Complete training in company systems, product categories, configuration procedures, design terminology, and approved workflows.
- Provide timely handoffs before planned absences, including work completed, source files, missing information, next actions, owners, and deadlines.
Required Qualifications
- At least two years of professional experience in interior design, window treatments, fabrics/textiles, upholstery, furniture, design showroom operations, or a closely related residential or commercial interiors field.
- Demonstrated familiarity with window-treatment products or specifications, including shades, blinds, drapery, fabrics, hardware, measurements, and/or product configurations.
- Experience supporting design projects, client selections, quotes, proposals, takeoffs, vendor coordination, purchasing, production, or installation workflows.
- Strong written communication skills, including clear, professional client and vendor follow-up.
- Exceptional organizational skills and attention to detail, especially with measurements, quantities, product selections, dates, records, and project documentation.
- Ability to manage multiple deadlines while maintaining accurate CRM, calendar, and task-system records.
- Comfortable using CRM, email, calendar, document-management, spreadsheet, quoting, and project-tracking tools.
- Ability to recognize incomplete or conflicting information, ask appropriate questions, and avoid making unsupported assumptions.
- Professional discretion and the judgment to escalate pricing, technical, client-service, schedule, complaint, and approval matters promptly.
- Ability to work independently within established systems and follow approved procedures consistently.
Preferred Qualifications
- Experience in a window-treatment showroom, interior design studio, furniture showroom, upholstery business, fabric house, or custom furnishings company.
- Experience reading floor plans, reviewing takeoffs, coordinating field measurements, or preparing product/quote inputs.
- Familiarity with vendor lead times, supplier acknowledgments, production tracking, freight, and installation coordination.
- Interior design education, a related degree, or formal industry training.
- Experience with custom drapery, roller shades, Roman shades, blinds, shutters, motorization, upholstery, custom furniture, or decorative hardware.
- Experience supporting a high-touch residential design and client-service environment.
Pay: $15.00 per hour
Expected hours: 40.0 per week
