We are seeking a proactive and detail-oriented Support Service Specialist for our client team.
*This role requires Japanese language skill as a mandatory.
Pay Rate: $18.50(W2)
Term: -8/2/2027(Long term)
Work schedule: 3 days a week, 9am-6pm
Language: English and Japanese (mandatory)
Location: Downtown Los Angeles, CA
This position provides administrative support to our bank client. Responsibilities include general office administration, travel arrangements, expense processing, vendor and service coordination, accounts payable support, event and visitor arrangements, website/portal site content management and updates, and project management support. This role helps ensure smooth daily operations, timely processing of required procedures, accurate and up-to-date information sharing through internal and external web platforms, and effective support for management and team members.
Major Responsibilities:
[General Affairs functions]
Corporate & General Services/Office Operations:
- Support overall corporate and general services operations, including vendor and service provider management
- Order office supplies and maintain the reception area, break rooms, and mail room
- Ensure compliance with internal and external requirements and identify opportunities to streamline or improve operationsProperty Management:
- Coordinate property management activities for the business unit
- Serve as a liaison for security requirements, building access, maintenance requests, and company fleet matters, including vehicle procurement, maintenance, and repair scheduling
Administrative Support functions:
Perform administrative duties for the management and team members, including Relationship Managers, as follows:
- Organize files and office materials and arrange business travel and hotel reservations as needed
- Process employee expenses, reimbursements, corporate card charges, travel and entertainment expenses, and vendor-related payments in accordance with internal policies, including documentation review, approval confirmation, cost center coding, and follow-up on incomplete submissions
- Maintain golf club and social club memberships and process related payments
- Coordinate business and professional lunches, dinners, entertainment, corporate events, internal training, and customer seminars/webinars
- Order business cards and office supplies
- Arrange visits for incoming guests and greet visitors as needed
- Coordinate catering and refreshments for guests
- Support gift and entertainment-related administrative tasks
- Prepare, edit, and maintain various reports, articles, and business documents
- Support shared folder management, including organizing, maintaining, and updating files and folders
- Support onboarding activities for new employees
- Perform other administrative tasks for the Business Management Department as assigned by management
Accounts Payable functions:
Support accounts payable activities as follows:
- Provide payment instructions and support accurate payment processing
- Review and verify processed invoices
- Perform other accounting-related tasks associated with accounts payable
- Prepare and complete required accounting forms for reimbursements
Project Management Support functions:
Provide administrative support for project management activities as follows:
- Organize data and prepare materials or lists needed for project planning, tracking, monitoring, and reporting
- Provide timely project updates to relevant teams
- Support Project Leaders by coordinating with relevant teams on project-related activities
We require:
- Associate degree or equivalent work experience required
- Bilingual fluency in Japanese and English required
- Strong interpersonal and communication skills in both English and Japanese, with the ability to work effectively as part of a team
- Strong organizational skills and the ability to manage multiple tasks and priorities
- Proficiency in Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint
- Work authorization in USA. (Client does not support visa sponsorships.)
