To help support our future growth as an agency, we are looking for an Assistant, VIP & Influence to join our team based in our New York office.
Key Responsibilities
Assist and work closely with the Coordinator, Manager, and Director.
Sample Trafficking:
- Extensive sample trafficking (organizing sample returns and send-outs)
- Respond to stylist requests in a timely manner and pitch new potential placement opportunities
- Overall showroom management, arranging for appointments and fitting when necessary
Seeding:
- Assist in developing strategic seeding targets based on brand criteria
- Outreach to talent, stylists, and publicists for product seeding to collect addresses and sizing
- Following guidelines provided by the client, packaging and preparing gifting send outs for seeding incentives
- Inventory management of seeding product available in-office. Available to come into the office on Monday/Friday when necessary.
Events:
- Support with guestlist curation of VIPs, influencers, KOLs for client events, activations, and fashion shows based on brief
- Extend event invites and manage RSVPs via personal e-mail and fashion GPS
- Support with event dressing and gifting needs
- Book glam and transportation for paid and organic talent when necessary
- Creation and distribution of external face sheets prior to events
- Be available to work on and support on-site at events, projects, shows as needed, ie. support with guest check in
Talent Relations:
- Updating contact database with names, handles, engagement rates of potential VIP/Influencer partners
- Support with casting relevant on-brand influencer and VIP talent for various client initiatives including but not limited to seeding and paid partnerships
- Conducting and completing market and industry research, keeping tabs on new/emerging talent
- Administrative tasks, including budget tracking and invoicing, collaborating with the Karla Otto finance team
- Proactively reach out to agents for roster updates and relationship development
Client Communications:
- Prepare agendas and meeting notes for client calls and send thorough recaps for clients
- Compile social coverage monthly or daily reports for each client (dependent on client needs)
- Effectively communicate status updates to clients on seeding progress, outreach, VIP requests for approval
Key Attributes
- Associate or Bachelor’s degree required in advertising, PR, marketing, communication or related field
- Experience working with luxury fashion brands
- The candidate should have strong communication skills (both written and oral), research, and organization skills
- Be able to work under pressure to meet deadlines
- Accomplishes tasks accurately, thoroughly, and with a keen eye for detail both with quantitative and qualitative data
- Willing to go above and beyond the call of duty in order to complete a project accurately and on time
- Highly motivated and enthusiastic
- Strong work ethic
- Must be efficient in Outlook, Excel, and PowerPoint, Fashion GPS experience a plus
