The Accounting Associate is a full-time position responsible for providing administrative and clerical services for the accounting and human resource departments. Ensuring these services are completed in a timely and accurate manner to support the effective and efficient operation of the organization.
Primary Accounting Duties And Responsibilities
- Works with the accounts payable process, including: verification of invoices, purchase orders and packing slips and coding of invoices
- Back-up to complete weekly check run and ACH files
- Answer customers’ calls and respond to inquiries related to transactional questions or account maintenance. Works to resolve problems and communicate outcome to all.
- Apply customer payments
- Process gift cards and maintain inventory
- Greet visitors, answer incoming calls and re-direct calls as appropriate or take adequate messages as required
- Perform administrative support duties of a varied and highly confidential nature for management
- Back-up to Accounts Receivable Specialist to reconcile cash drawers
- Back-up for other admin tasks
- Process Dealer and Organizational Account Applications following established procedures & guidelines; review with management for approval
- Open and distribute incoming mail
- Assist with sales tax exemption documents using Avalara Certcapture
- Perform a full range of administrative duties, including: typing, data entry, computer applications & filing
- Other duties and special projects as assigned by management
Human Resources Duties And Responsibilities
- Assist with New Hire Orientation: welcome kits, health care packets, safety videos and quizzes
- Create New Employee Folders and file employee documents
- Monthly Anniversary Cards and sympathy/birth cards as needed
- Assist with annual benefits open enrollment
Qualifications
- Associate’s degree in accounting or one year previous work experience in accounting
- Strong PC & system skills: proficiency in MS excel & MS word required, Oracle Netsuite experience preferred.
- Excellent written and verbal communication skills
- Detail-oriented with excellent organizational skills
- Ability to maintain confidentiality
- Strong work ethic, self-motivating and able to work independently and in a team
- Able to multitask and work in fast paced environment
