Position Summary
The Program Coordinator is responsible for overseeing all Community Engagement Program (CEP) initiatives funded under Substance Use Prevention and Recovery Services (SUPTRS) through NVDPBH. This includes implementation, evaluation, reporting, and ongoing operational coordination. This role ensures program deliverables align with established timelines, grant requirements, and budgets, while supporting staff, partners, and program infrastructure. The Program Coordinator provides oversight of overdose prevention initiatives, recovery support groups, and Medicaid-related systems, and serves as a key liaison for data integrity, fiscal accountability, and grant compliance.
Core Responsibilities
Program Oversight & Coordination
- Oversee day-to-day coordination of all CEP program areas to ensure activities are implemented effectively and on schedule
- Facilitate weekly CEP meetings and track deliverables to ensure milestones are met on time
- Review CEP budget monthly to ensure spend-down is appropriate
- Support collaboration across program staff and community partners
- Order and manage program supplies and materials as needed
Objective Area Oversight
O1: Street Outreach
- Provide operational and administrative oversight to PRSS-S, Outreach Coordinator (OC), and PRSS staff
- Oversee reporting and data capture related to street outreach activities
- Support Tuesday Mobile Mutual Support Group (MMS) implementation and collaborate on program outline and structure
O2: Overdose Prevention & Risk Reduction
- Oversee reporting, data capture, and documentation for overdose prevention activities
- Provide administrative and operational support, including ordering developed materials and consulting on content
- Ensure overdose prevention initiatives align with grant deliverables and timelines O3: Workforce Development
- Oversee reporting and data capture related to workforce development activities
- Provide operational and administrative support to PRSS-S and PRSS staff
- Coordinate with community partners to strengthen employment and workforce support pathways
O4: Stigma Reduction
- Oversee reporting and data capture for stigma reduction initiatives
- Provide operational and administrative support to PRSS-S and PRSS staff
O5: Medicaid Systems Development
- Oversee onboarding and implementation of the Medicaid billing system
- Support development of policies and procedures
- Coordinate administrative and billing staffing support
- Assist with system testing, implementation, and reporting requirements
Data, Reporting & Compliance
- Ensure accurate data capture, tracking, and reporting across all CEP program areas
- Support development and maintenance of data systems to meet grant and compliance requirements
- Submit required program data reports by the 15th of each month and required quarterly reports at the end of each quarter
- Participate in grantee liaison meetings and required technical assistance (TA) activities
Fiscal Oversight & Budget Management
- Monitor grant budgets and support budget spenddown to ensure alignment with approved funding
- Track program expenses and ensure costs are allowable, documented, and on schedule
- Prepare and submit monthly invoices by the 15th of each month
- Coordinate with leadership and finance staff to support fiscal reporting and grant compliance
Qualifications
- Demonstrated experience in program coordination, grant-funded programs, or nonprofit operations
- Proven ability to take initiative on projects, independently move work forward, and implement new systems or structures with minimal supervision
- Experience leading teams and managing people, including facilitating meetings, coordinating staff responsibilities, and ensuring accountability to timelines and deliverables
- Strong problem-solving skills, with the ability to assess challenges, identify solutions, and implement corrective actions in dynamic program environments
- Familiarity with harm reduction, recovery support services, community outreach, and/or Medicaid-reimbursement processes in preferred
- Experience supporting budget oversight, invoicing, and grant compliance, including monitoring spenddown and reporting requirements
- Excellent organizational, data management, and reporting skills
- Ability to work independently within a limited time allocation while maintaining high levels of accuracy, follow-through, and accountability
- Strong communication skills and the ability to collaborate effectively with internal staff, leadership, and external partners
Job Type: Part-time
Pay: $38,480.00 - $42,640.00 per year
Expected hours: 20 per week
