Job Title: Sales & Marketing Coordinator – Citywide & SMERF Groups
Location: Porto Vista Hotel | San Diego, CA
Porto Vista Hotel is seeking a Sales & Marketing Coordinator to support and execute citywide convention and SMERF group room business while assisting with sales marketing initiatives. This position focuses primarily on group room sales coordination and execution .
Key Responsibilities:
Sales & Group Coordination
- Support and manage citywide and SMERF group room business
- Build, manage, and maintain group room blocks in Opera Cloud
- Enter and update rooming lists and individual reservations as needed
- Set up and maintain accurate Master Accounts and billing for all group bookings
- Respond to RFPs and manage group leads through Cvent and Citywide and other Third Party Vendors
- Track group pickup, cutoff dates, and overall room block performance
- Prepare and distribute group proposals, contracts, and related documentation
- Coordinate with Front Desk, Revenue Management, and Operations to ensure smooth group execution
- Support site visits, group arrivals, and serve as a point of contact during key arrival dates
- Assist with post-event recaps and support repeat group business
Sales Marketing Support
- Assist with sales and marketing campaigns targeting citywide, SMERF, and group business
- Maintain and update sales collateral, presentations, and rate sheets
- Support online lead platforms and listings (Cvent, SDTA, citywide portals, etc.)
- Assist with tracking marketing performance, lead sources, and conversion data
- Coordinate with management on promotions, need periods, and special offers
- Support outreach efforts to planners, associations, and repeat clients
- Assist with site tour preparation and follow-up communications
Qualifications:
- Hotel sales coordination, group sales, or sales support experience required
- Strong knowledge of SMERF markets and citywide convention business
- Experience with Citywide Events and SDTA preferred
- Proficiency in Opera Cloud required
- Experience with Salesforce and Cvent preferred
- Strong organizational, communication, and follow-up skills
- Detail-oriented, deadline-driven, and able to manage multiple priorities
