Sales/Wholesale Operations Assistant

About the RoleThe Wholesale Operations Assistant supports the Operations team in managing end-to-end wholesale, dropship, and ecommerce order fulfillment. This role is highly detail-oriented and cross-functional, working closely with 3PL partners, production, finance, and internal teams to ensure accurate, on-time order processing and exceptional service to wholesale customers. The ideal candidate thrives in a fast-paced fashion environment and enjoys solving operational challenges.
Key Responsibilities
- Support daily wholesale operations, including monitoring orders at risk and proactively resolving issues through internal and external communication.
- Lead the daily allocation process by investigating allocation errors, shortages, and inventory discrepancies to ensure orders are fulfilled accurately.
- Create and distribute pick tickets to 3PL partners and ensure daily, weekly, and monthly shipping KPIs are met.
- Communicate closely with 3PL providers regarding order fulfillment, routing, and shipping issues, resolving problems in a timely manner.
- Prepare and manage all documentation required for wholesale order fulfillment.
- Collaborate with the Production team to identify factory delays and assess their impact on wholesale orders and fulfillment timelines.
- Communicate ship window updates, style adjustments, and other order-related changes to wholesale customers.
- Prepare retailer-specific templates, UPC files, and compliance documentation.
- Generate and distribute operational reports using BlueCherry and Excel for both internal and external teams.
- Manage dropship and ecommerce order flow through the ERP system, ensuring orders move smoothly through the supply chain and are fulfilled on time.
- Oversee wholesale and dropship returns, including creating RMAs in the ERP, receiving scanned units into inventory, and investigating discrepancies with 3PL partners.
- Partner with the Finance team to prepare, issue, and distribute credit memos related to returns and discrepancies.
- Create stock adjustments and inter-warehouse transfers as needed.
- Support the Madison retail store with stock replenishment, returns of unsold inventory to the warehouse, and POS order management in BlueCherry.
Qualifications & Requirements
- Prior experience in wholesale operations, shipping, logistics, or supply chain within the fashion or apparel industry.
- Strong understanding of ERP systems; BlueCherry experience is highly preferred.
- Advanced Excel skills, including Pivot Tables, VLOOKUP, and data analysis.
- Excellent written and verbal communication skills, with the ability to work effectively across teams and with external partners.
- Highly organized, resourceful, and able to prioritize and multitask in a fast-paced, high-volume environment.
- Strong problem-solving skills and attention to detail.
