Role Description
We are seeking a highly organized and motivated Sales Operations Coordinator to support the Director of Black Label in New York City. This is a full-time, on-site role which includes one remote day responsible for managing client accounts, coordinating production timelines, and supporting internal workflows across sales, production, and operations. The role includes overseeing project execution, maintaining clear communication between stakeholders, and ensuring all deliverables are completed accurately and on time within a fast-paced, detail-driven environment.
Core Responsibilities
- Prepare and deliver weekly client status reports, including sales, pipeline, and production updates
- Own client communication, including updates, approvals, follow-ups, and scheduling
- Maintain accurate and structured CRM data within HubSpot across all accounts
Project Management & Execution
- Manage client orders from concept through production and final delivery
- Build and maintain production WIP, costing sheets (advanced Excel), product calendars, and line sheets
- Track and drive progress on quotes, invoices, factory POs, and production timelines
- Proactively identify and communicate delays, ensuring projects stay on track
Cross-Functional Coordination
- Track tasks, timelines, and deliverables using Monday.com and HubSpot
- Act as the central point of coordination between Sales, Production, and Operations
- Lead internal check-ins and ensure deadlines are met across departments
- Partner with Finance to track AR, update payment schedules, and ensure timely invoicing and collections
Studio & Showroom Operations
- Manage daily operations of the NY showroom, including opening and closing procedures
- Welcome and coordinate visits for key clients
- Oversee showroom inventory, ordering, and general maintenance
- Manage appointment scheduling and showroom calendar
- Handle physical product movement as needed (up to 50 lbs)
Qualifications
2–5 years experience in:
- Sales support
- Sales operations
- Production coordination
- (Sales) Executive Assistant roles
- Apparel / merchandising / manufacturing experience preferred but not required
- Advanced Excel / Google Sheets skills
- Comfortable with formulas, costing models, and data tracking
- Experience with CRM systems (HubSpot strongly preferred)
- Experience with project management tools (Monday.com or similar)
- Strong understanding of sales pipelines and production timelines
- Comfortable working on Mac OS
- Ideal skills: organized, systems thinker, problem solver
- Works out of the NYC showroom 4 days per week, 1 remote day
- Light travel required
- Flexibility to attend events and functions outside of office hours
