TRUDON, the renowned luxury candlemaker from France, has an exciting opportunity for a Sales Coordinator to join our team in New York City.
Founded in 1643, TRUDON is the oldest continuously operating candlemaker in the world and is formerly the official supplier of the French royal court. Location: This is a full-time, hybrid role with working hours from 9:00 AM to 5:00 PM. This role works 2 days remote and 3 days in our downtown Manhattan office.
Key Responsibilities:
As Sales Coordinator supporting the wholesale channels, you will play a role in the day-to-day execution of sales operations. This includes processing orders, managing invoicing, maintaining store accounts across the Americas, and serving as a primary point of contact for wholesale account inquiries for TRUDON and Carrière Frères. Reporting to the Director of Operations, you will work cross-functionally with Sales, Operations, and our 3PL warehouse partners to ensure seamless communication and efficient order flow.
This role offers hands-on exposure to the operations of a growing luxury brand, with the opportunity to develop strong expertise in order management, logistics coordination, and delivering a high standard of service.
Key Responsibilities:
Sales Administration & Order Management:
- Process wholesale sales orders in coordination with Sales Managers, ensuring accuracy, completeness, and timely fulfillment.
- Act as a key liaison between the Sales team and 3PL warehouse to manage order flow, shipping timelines, and issue resolution.
- Monitor order status from entry through delivery, proactively communicating delays, discrepancies, or fulfillment issues.
- Ensure all orders meet retailer compliance requirements (routing, labeling, documentation) to minimize chargebacks.
- Maintain accurate and up-to-date sales records, order tracking, and customer account information in internal systems.
- Support inventory coordination by communicating stock levels, shortages, and replenishment timing with Operations and warehouse partners.
- Support Sales Managers with administrative tasks, including order entry, account setup, and preparation of sales materials.
Accounts Receivable & Invoicing:
- Generate and issue invoices for wholesale accounts, ensuring accuracy and alignment with agreed commercial terms.
- Track accounts receivable, including monitoring outstanding balances and following up on overdue payments.
- Reconcile discrepancies related to billing, deductions, and payments in collaboration with Sales and Finance teams.
- Maintain organized and accurate records of customer accounts, invoices, and payment status.

What We’re Looking For:
- Bachelor’s degree in business, marketing, supply chain, or a related field is preferred.
- High level of organization, excellent communication skills, and a passion for providing exceptional customer experiences.
- Proven experience in an administrative role and/or customer service, with strong attention to detail and the ability to manage multiple priorities at once.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and CRM software preferred.
- Ability to work independently and collaboratively within a team, maintaining a positive and proactive attitude.
- Experience in the luxury goods industry is a plus, along with a genuine passion for delivering a luxury client experience.
