Job Summary
Summary: The Customer Service Representative is responsible for maintaining a high level of customer relations through effective receipt and processing of orders and resolving problems. The hours for this position are Monday through Friday 8:00am - 4:00pm, onsite.
Essential Duties and Responsibilities:
- Performs customer service providing professional contact with customers to meet customer orders and resolve problems.
- Receives customer orders by phone, fax, mail, or email. Enters order into computer system and enters routine purchase orders.
- Confirm receipt of orders to customers and, in certain cases, prepares written order confirmations according to customer specifications.
- Monitors customer-buying practice to anticipate needs. Performs account-coordinating responsibilities. Makes a pro-active call to customers to solicit sales. May setup and maintain customer inventory spreadsheets. May prepare and issue releases for products against scheduled blanket orders.
- May assist Purchasing Department by providing price quotes on specified items on an as needed basis. May support sales by assisting/expediting products for use in customer application tests.
- Coordinate with Purchasing Department to communicate price changes to customers in a timely an effective manner.
- Receives and responds to customer inquiries and complaints. Tracks data or information and works to resolve complaints.
- Performs drop-ship billing.
- Prepares warehouse billing for invoicing.
- Checks receiving from warehouse documents.
- Prints purchase orders at the end of the business day.
- Maintains records and files relating to customer’s orders.
- In the event of the other Customer Service Representative absence, assumes customer service and inventory responsibilities for customers typically managed by them to ensure the integrity of the SQF system.
- Participant in Food Safety & Quality program.
- Moves or handles lightweight items on frequent basis. Tasks require moderate to frequent movement throughout the office and manual dexterity to operate computers and office equipment.
- Performs other duties as needed to meet customer needs including answering phones and responds to general inquiries.
Qualifications:
- Possess high school education supplemented by advanced training in customer relationship management, sales, and administration preferably comparable to a college education.
- 3 - 5 years’ experience in customer service preferably related to packaging products and/or food products handling or packaging.
- Possess excellent tact, diplomacy and communication skills. Ability to handle job pressure and resolve customer complaints.
- Any other equivalent combination of training and experience.
- Job Duties are subject to change as directed by management
Please note: On the occasion when personnel responsible for this role is absent, appropriately trained back up has been assigned to cover their nominated duties to ensure the integrity of the SQF system. For this specific position, all customer service responsibilities will be covered by the other Customer Service Representative. Assistance with inventory reports may also be provided by the General Manager.
Pay: $65,000.00 - $70,000.00 per year
