About the Role
We are recruiting a proactive and detail-oriented Event Coordinator to join our growing New York team. This is an exciting opportunity to play a foundational role as we expand our full-time staff presence in the US. You will work alongside our local team and trusted freelancers to support the planning, design, and delivery of smaller-scale projects, while providing essential administrative and operational support on our largest, high-profile events.
What You’ll Be Doing
- Project Support: Assist the event team with project administration, including meeting agendas, asset management, and vendor research.
- Financial Coordination: Handle day-to-day financial tasks such as creating purchase orders, reconciling vendor invoices, and managing budget documentation.
- Operational Excellence: Manage smaller-scale projects from end to end, including event estimation, site operations, and on-site support.
- Resource Management: Support the resourcing manager in sourcing and assigning freelancers within our network to ensure project success.
- Drive Efficiency: Utilize AI tools and project management software to streamline processes and maintain high standards of cost-effectiveness and profitability.
What We Need From You
- Experience: At least 2 years in a coordinator-level role within the US events industry, with experience as part of an event team.
- Lifecycle Knowledge: A solid working knowledge of the event production lifecycle and project admin workflows.
- Communication: Excellent communication skills, with experience managing client relationships and vendor communications.
- Tech Savvy: Proficiency in Google Workspace, project management tools (e.g., Procim), and modern AI tools to drive efficiency.
- Reliability: Ability to thrive in a fast-paced environment, with the flexibility to travel and work irregular hours (nights/weekends) as required by project schedules.
