We’re currently at an inflection point in the company as we move into a new HQ in Greenpoint with 10x the production capacity. Expect lots of company growth, which means lots of opportunity.
About the Role
The Sales Administrator will work across the entire sales process—from lead generation and estimation through closing, invoicing, and project management. You’ll communicate with clients including well-known artists, high net worth individuals, architects, developers, restorers, and institutions looking to make sculpture and architecture in stone. You’ll work closely with creative and production teams to be able to keep clients updated on progress and resolve issues.
Key Responsibilities
- Research potential leads, collect and organize data, and organize outreach.
- Coordinate and schedule new client meetings and prepare sales team for upcoming calls
- Update project briefs following subsequent meetings to track all scope changes
- Draft comprehensive project briefs that capture client needs and align with internal capabilities
- Set up and organize projects in project management software following standardized workflows
- Coordinate the estimation process: gather inputs including 3D models and digital files, work with internal teams, track progress
- Manage leads and opportunities in our CRM, maintaining clear pipeline visibility
- Coordinate digital asset collection with clients and preparation with internal teams
- Interface with design, fabrication, and carving departments to document technical specifications for digital fabrication
- Support weekly estimating meetings and produce sales reports for senior management
- Prepare and send client proposals, manage change orders, and coordinate invoicing
- Leverage AI and digital tools to accelerate workflows and improve processes
Required Qualifications
- Excellent written and verbal communication skills.
- Ability to communicate effectively with everyone from top-tier artists and creatives to extremely busy professionals, to the folks on the shop floor.
- Strong organizational abilities with meticulous attention to detail
- Proficiency with CRM and project management software
- Task-driven mindset with ability to manage multiple complex projects simultaneously
Preferred Qualifications
- Deep interest in art, design, architecture, and fabrication.
- Ability to read architectural plans and technical drawings
- Experience estimating custom digital fabrication or art projects
- Working knowledge of 3D modeling software and digital fabrication workflows
- Understanding of CNC machining, robotic milling, and file preparation for digital production
- Project management experience in architectural or creative contexts
- Familiarity with AI tools and workflow automation
Note: The more dexterity you have with 3D models and digital processes, the easier your workflow will be in this role.

Location
We are currently located in Mt. Vernon, NY but moving to a new 40k sq ft HQ in Greenpoint Brooklyn in a few months. Therefore, we are flexible about remote work for the next few months, but expect to be fully in-office once moved into Greenpoint (with some wfh flexibility).
