Position
JOB TITLE: Project Coordinator, Store Planning
Job Purpose
Responsible for seamless operational support on renovations, relocations, and new store openings in both new and existing markets.
Job responsibilities
Construction Administration
- Communicate and Coordinate with internal departments and LVMH partners to ensure all project schedules are achieved
- Adhere to project timelines/schedules – exhibit above average time management capabilities
- Maintain vendor processes for all projects incl. vendor account setup, purchase order creation, and processing invoices.
- Identify/create tools necessary to support the project management process.
- Copy and circulate project drawings as directed
- Propose/identify ways in which the department can increase effectiveness – eliminate and or streamline the process at every opportunity.
- Track and review project budgets from Project Manager(s)
- Maintain historical cost database (budget, analysis, actuals)
- Collect and organize project start up information from internal and external partners to ensure a coherent Design Kick Off to Paris HQ, including retail design briefs, LODs, as-builts and technical drawings, leasing presentations, and property guidelines.
- Collect, organize, and issue SOP deliverables for internal project approval
- Support project closeout tasks such as financial reconciliation, reimbursements, and final payments between internal departments and LVMH partners.
- Maintains Store Planning archive such as new store opening packages, project record set drawings, and sample inventory closet.
- Manages the Fine Art database – Conducts annual audit and organize the transfer of pieces between boutiques or storage facilities
- Manages the scheduling and organizing of internal and external meetings (agenda setting, material preparation/ distribution, etc.)
- Responsible for distributing Store Planning materials to external teams such as Concept Design Books, Design Bulletins, Guidelines, and other relevant files
- Assists in the full RFP lifecycle process – including but not limited to facilitating RFP’s, preparing Bid Levelling, and awarding submittals
- Assists with managing projects related to minor works/facilities
Communications
- Maintain established communication protocol relating to: projects, budgets, costs, schedules and vendor qualification
- Maintain confidentiality, discretion and professionalism in all correspondence.
- Develop and maintain cooperative relationships with both internal and external partners.
- Maintain an objective perspective in managing adversity.
- Ensure communication protocol to other corporate departments and Store Ops on all department activities.
- Liaise with LVMH partners on all related projects to ensure high-level execution and cost efficiency.
- Maintain timely and organized communication with external property management teams.

Requirements
- 2 years prior construction and/or project coordination experience
- Strong knowledge of Microsoft Office programs (ie; Excel, Adobe, Word)
- AutoCAD or Adobe Photoshop experience is a plus
Additional information
The selected candidate will be offered a salary within the range of $70k – $80k annually, plus bonus eligibility. The salary offered will be dependent upon the candidate’s relevant skills and experience.
