POSITION OVERVIEW
We are seeking a detail-oriented and reliable Accounts Receivable / Accounts Payable Specialist to manage and support the full accounts receivable and accounts payable cycles. This role is responsible for invoicing, collections, payment processing, vendor management, and maintaining accurate financial records.
The ideal candidate is organized, proactive, and comfortable communicating with both internal teams and external clients and vendors.
Key Responsibilities
Accounts Receivable
- Prepare, issue, and track customer invoices in a timely and accurate manner
- Apply incoming payments (ACH, wire, check, credit card) and reconcile customer accounts
- Monitor accounts for past-due balances and proactively follow up on outstanding invoices
- Communicate professionally with customers regarding billing questions, discrepancies, and payment status
- Maintain accurate AR aging reports and assist with monthly close activities
- Collaborate with sales, operations, and finance teams to resolve billing issues
Accounts Payable
- Process vendor invoices, ensuring accuracy, proper coding, and required approvals
- Manage the full vendor payment cycle including ACH, wire transfers, and check payments
- Maintain vendor records including W-9s and banking details while ensuring compliance with internal controls
- Reconcile vendor statements and resolve discrepancies in a timely manner
- Coordinate with department leaders to verify invoice approvals and expense allocations
- Monitor payment schedules to ensure timely payments and optimize cash flow
- Process employee expense reimbursements in accordance with company policies
- Assist with preparation and filing of vendor tax documentation, including 1099s
General Accounting Support
- Maintain proper documentation and ensure compliance with internal accounting controls
- Assist with month-end close activities and provide AR/AP-related reporting as needed
- Support internal and external audits by providing documentation and reconciliations
- Collaborate with the finance team to improve processes and enhance efficiency within the AR/AP functions
Skills & Qualifications
· 2+ years of experience in accounts receivable or related accounting role
· Strong attention to detail and accuracy
· Excellent written and verbal communication skills
· Proficiency with accounting software and Microsoft Excel (experience with ERP/CRM systems a plus)
· Ability to manage multiple priorities and meet deadlines
· Comfortable handling confidential financial information
· Understanding of basic accounting principles and invoice coding practices
Preferred Qualifications
- Experience with Intact highly preferred
- Experience with high-volume, high-dollar invoicing or multi-entity environments
- Familiarity with GAAP and basic accounting principles
- Experience working with remote teams or distributed clients

Salary + Bonus: Commensurate with experience. Annual Salary plus Bonus ranges from $80,000 to $100,000. Position includes extensive benefits including 401(k) matching, health, dental, vision and so much more.
