The Role
We are looking for a Sales Operations Coordinator to be the connective tissue across our three revenue channels — Wholesale, DTC Ecommerce, and Retail. This is a coordinator-level role built for someone who is highly organized, detail-driven, and energized by the idea of bringing order to complexity.
This is a hand-on, systems-driven operations role responsible for end-to-end order execution, inventory flow, and logistics coordination across all sales channels. The primary lens of this role is wholesale operations — managing the day-to-day mechanics of how product moves from us to our accounts, how orders are tracked and fulfilled. Beyond the wholesale business, the person in this role has a strong logistics coordination background.
What You'll Do
WHOLESALE OPERATIONS
- Own the wholesale order lifecycle from PO receipt through shipment confirmation — ensuring accuracy, proper system entry in Full Circle (our ERP), order acknowledgements, changes, and cancellations
- Communicating with our 3PL for on-time delivery (working in collaboration with the 3PL and Operations Senior Manager).
- Manage EDI flows through Full Circle, ensuring successful transmission of POs, ASNs, invoices, and related documents.
- Process and manage return-to-vendor (RTV) requests and coordinate with the warehouse on outbound wholesale shipments
- Serve as the day-to-day point of contact between the sales team and operations for all wholesale account needs
- Ensure the 3PL is maintaining compliance with account-specific routing guides, EDI requirements, and vendor manuals for key department store accounts
- Troubleshoot and work with Operations Senior Manager to resolve order concerns, fulfillment constraints, and routing requirements (while working to prevent chargebacks).
CROSS-CHANNEL COORDINATION — THE GLUE
- Maintain real-time visibility into inventory availability across wholesale, ecommerce, and retail — identifying conflicts before they cause fulfillment failures
- Flag inventory allocation issues when the same SKUs are committed across multiple channels simultaneously
- Support weekly cross-channel alignment meetings by pulling inventory, order, and fulfillment data ahead of time
- Communicate clearly and proactively with Sales, the warehouse, and leadership, when channel priorities shift or inventory is constrained
- Coordinate with 3PL teams to ensure on-time fulfillment, accurate shipments, and smooth handoffs through the ship cycle.
- Ensure clean and accurate data flow across Full Circle, Shopify, and retail partner systems, flagging and correcting discrepancies quickly.
- Partner with Operations Senior Manager on planning, and confirming inventory availability, allocation priorities, and replenishment timing to support demand across all channels.
- Assist Operations Senior Manager with inventory accuracy — supporting cycle count reporting and reconciliation across locations and channels
- Support other operational projects and related duties as assigned.
ECOMMERCE & RETAIL SUPPORT
- Monitor DTC ecommerce order flow and flag fulfillment exceptions, SLA risks, or out-of-stock situations to the appropriate team
- Support retail store replenishment by tracking transfer requests, communicating stock availability, and coordinating with the warehouse
REPORTING & SYSTEMS
- Maintain clean, up-to-date order and inventory data in Full Circle ERP - it is the source of truth.
- Pull and distribute weekly operational reports: wholesale open orders, fill rate by account, channel inventory positions, and delays.
- Build and improve simple tracking tools (spreadsheets, shared trackers) that give the team visibility without needing to log into multiple systems
- Identify recurring data or process gaps and flag them with recommendations for how to fix them
What We're Looking For
- 2–4 years of experience in a wholesale operations, sales operations, or account coordination role — ideally in fashion, apparel, or a premium consumer brand
- Solid understanding of how wholesale accounts work: POs, routing guides, EDI, chargebacks, and the compliance requirements of department store partners
- Experience with Full Circle ERP, or strong ERP experience with a willingness to learn quickly
- Highly proficient in Excel or Google Sheets — you build trackers, pivot tables, and reports without being asked
- Organized to a fault: you have a system for everything, nothing falls through the cracks, and you follow up without being reminded
- Clear, direct communicator who can translate operational details into plain language for sales reps, store managers, and leadership alike
- Comfortable navigating ambiguity and figuring things out — this is a growth-stage business and not everything has a playbook yet
- Familiarity with Shopify or other DTC platforms is a plus, not a requirement
