Sales Operations Coordinator
ABOUT THE ROLE
We are looking for a detail-oriented and driven Sales Operations Coordinator to join our Sales Operations team. In this role, you will execute the full quote-to-cash process — building quotes, processing orders, managing vendor purchases, and ensuring invoices flow accurately through our systems. You will be the operational support behind our Commercial and Enterprise sales reps, keeping deals moving and customers informed.
This role is a great fit for someone with 2–3 years of sales support experience in a VAR, IT reseller, or Distribution IT environment who is ready to take ownership of their workflow and grow into a Specialist role.
This is a fully remote position. Working hours are 7:00 AM – 4:00 PM PST or 8:00 AM – 5:00 PM PST.
WHAT YOU'LL DO
Quoting & Order Processing
• Build and deliver accurate quotes in QuoteWerks based on requests from Commercial and Enterprise sales reps
• Process customer orders and vendor purchases accurately and on time
• Manage maintenance, renewal, and configuration quoting proactively
Quote-to-Cash & Billing Operations
• Own the full quote-to-cash workflow, moving deals cleanly from opportunity to closed order to invoice
• Set up and push Autotask invoices through our billing integration, ensuring accuracy before handoff to finance
• Enter and maintain configuration items (CIs) in Autotask for accurate asset and contract tracking
Deal & Pipeline Support
• Create and update HubSpot deals on behalf of sales reps, keeping pipeline data clean and audit-ready
• Send customer order confirmations, summaries, and shipment and tracking updates
Inbox & Queue Management
• Monitor and manage the Sales Operations and renewals inboxes
• Manage tickets and queues in Autotask, triaging requests and meeting response SLAs
Process & Automation
• Leverage AI tools to improve efficiency and reduce manual, repetitive work
• Identify process gaps and surface them to the broader Sales Ops team
WHAT WE'RE LOOKING FOR
• 2–3 years of experience in a sales support or sales operations role within a VAR, IT reseller, or managed services company — required
• Hands-on experience executing the full quote-to-cash process
• Working knowledge of QuoteWerks, HubSpot, Autotask, and Outlook — or equivalent tools in a VAR environment
• Strong attention to detail in quoting, order entry, and invoice setup
• Able to manage a high volume of requests across multiple channels without dropping the ball
• Clear communicator who can work directly with sales reps, vendors, and customers
• Familiarity with AI tools and an eagerness to apply them in daily work
• Self-starter who takes ownership of their queue and follows through independently
NICE TO HAVE
• Experience with distributor portals such as Ingram Micro or TD SYNNEX
• Exposure to contract or subscription renewal management
• Experience with billing integrations or PSA/ERP systems

COMPENSATION and BENEFITS
Compensatin
- Base Salary: $60,000 – $70,000 (depending on experience)
- Bonus: $6,000 – $7000 (performance-based)
- Total Compensation: $66,000 - $77,000
