Position Overview
We are seeking a highly organized and detail-oriented Executive Assistant to support our Head Designer. This role is ideal for someone with excellent communication skills, who can efficiently collaborate with vendors and internal team members to assist the design department and expand our brand.

Key Responsibilities
- Provide comprehensive administrative support to the Head Designer, including scheduling, correspondence, and the preparation of reports.
- Handle confidential information with discretion and professionalism, including exclusive designs.
- Blend creative and administrative skills to generate new designs and maintain brand consistency.
- Communicate effectively with vendors to coordinate projects and deliveries, clarify requirements, and resolve issues in a timely manner.
- Create, update, and maintain project sheets to develop new items and track project flow.
- Ensure all data entered is accurate and up to date, performing regular audits to maintain quality and reliability.
- Organize and manage documentation, quotes, and correspondence related to vendor projects.
- Respond promptly to queries from vendors and internal staff, providing clear and professional communication.
- Maintain a schedule of project timelines to ensure all deadlines are met including the delivery of samples and final products.
Qualifications
- Exceptional organizational skills with the ability to manage multiple tasks and priorities.
- Proficiency with Microsoft Excel.
- Strong verbal and written communication skills.
- Attention to detail and commitment to data accuracy.
- Ability to work independently and as part of a team.
- High level of integrity and professionalism.
- Bilingual – English and Spanish.
- 1-3 years of administrative experience.
