Position Summary:

Reporting to the Director of Marketing & Communication Services, the Marketing Assistant will support the marketing and portfolio management team’s efforts by coordinating national supplier visits, scheduling winery visits, recording press updates, updating content across platforms, and assisting with office and POS inventory responsibilities. This role plays an essential part in maintaining Banville’s high standards of execution, organization, and producer partnership support and assists marketing team in executing strategies and messaging.

Critical Tasks:

PORTFOLIO MANAGEMENT TEAM SUPPORT (50%)

National Events & Supplier Coordination Support.
Maintain the national events calendar.
In cooperation with portfolio managers, create and maintain national supplier visit calendar.
Generate and update national supplier visit itineraries.
Assist in compiling feedback from Division Managers regarding national supplier visits.
In co-operation with the portfolio management and customer service team, coordinate wine samples for national events, national market visits, press requests, and distributor activities.
OCM Photo Coordination.
Assist in coordinating OCM photos from events, trade visits, and activations.
Coordinate organization of images, attendee info, and communicate details to producers.
Winery Visit Scheduling.
Serve as liaison between sales teams and winery contacts.
Submit winery visit request, relay confirmation, sales manager and winery contact will complete any follow-up.

MARKETING SERVICES TEAM SUPPORT (35%)

Assist marketing services team in updating producer content on websites, PowerPoint decks, and other key locations.
Record press scores across multiple platforms including but not limited to Banville website, sevenfifty.com, wine.com, distributor websites (Serendipity California), etc.
Provide assistance for sales team support projects, as requested.
Maintain email contact lists in Banville MailChimp for Banville Buzz and targeted wholesale sales initiatives.
Assist with wholesale event RSVP management utilizing Eventbrite and SharePoint tools.
Support process improvements to streamline external documentation workflows.

FRONT OFFICE AND ADMINISTRATIVE SUPPORT (15%)

Assist Office Assistant with front office and phone coverage when needed.
Manage POS inventory at office and FDL – assist in printing, laminating and shipping shelf talkers and case cards.
Assist with printing and shipping producer catalogs, wholesale price books, specialty price books, and other materials as needed.
Assist marketing and office team in shipping press samples.

Professional Requirements:

Bachelor’s Degree or equivalent experience preferred.
Highly organized with strong attention to detail.
Ability to manage multiple projects and deadlines.
Positive, proactive, and collaborative approach when working across teams.

Knowledge:

Strong PC skills and proficiency in Microsoft Office 365 apps and shared file systems.
Familiarity and demonstrated proficiency in AI research and development platforms.
Demonstrated interest in wine and the producer-to-market story.

Physical:

Ability to sit at a computer for 6+ hours per day and work onsite full time at Banville’s New York office.
Ability to lift and carry up to 40lbs (wine or POS boxes).
